2009 LGBT HEALTH SUMMIT

We are looking for organisations to express an interest in hosting the 2009 National LGBT Health Summit. Hosting the Summit is a fantastic opportunity to showcase your city and your organisation and help build partnerships and links with LGBT and health and social care organisations from across the country.

Background

The Summit is the only conference of its kind in the UK which brings together lesbian, gay, bisexual and transgender health discussion, debate and learning. The size of the Summit varies from 160 delegates in 2006 to 350 delegates in 2007 and it is expected that this size will vary with location and themes for the Summit.

The Summit is guided by the following founding principles:

  • The summit aims to enable representation from all parts of the UK;
  • The summit aims to provide platforms for the lesbian, gay, bisexual and transgender delegates, speakers and issues and not be dominated by any one strand;
  • The summit will reflect physical, social and mental health and well-being and the wider determinants of health;
  • The summit will aim to be as accessible as possible, geographically, physically, spiritually and financially;
  • The summit will be recorded in some form to enable individuals who haven’t attended to learn and draw on the experiences and presentations from the summit;
  • Each summit will aim to leave a legacy resource which will be available nationally;
  • The summit will not be dominated/ badged by any specific organisation;
  • The summit will remain within budget and each year contribute remaining funds to the LGBT Health Summit accounts to support future summits, and;
  • There is a small group of Founder members who act as guardians of the principles of the Summit and in effect act as Trustee's for the Summit.  Although one or more of them are usually involved in the steering groups they are also there as a knowledge resource to support the host organisation.  The Summit is not currently constituted but is working towards registration as a charity and this work will run independantly of the annual event organisation.

Summit Administration

The host organisation is expected to lead on the administration of the Summit with support from the steering group. This will involve securing a venue for the Summit with an appropriate capacity and facilities, managing registration, responding to and supporting press engagement and administration at the event itself. There are template registration and equality monitoring forms, draft terms of reference for the steering group (Appendix A) and templates from previous years for calls for submissions, press policies and letters of invitation for speakers. Registration and information sharing with delegates is facilitated through the www.lgbthealth.co.uk website which is managed by one of the founders.

Finances

Each years Summit is financially independent and funding is raised by the steering committee and the local host organisation through national, regional and local connections. As a host organisation you will be expected to ring-fence the funds for the summit and deal with VAT and other financial implications in house. For 2008 there is a provisional commitment of funding from the Department of Health of £10,000 to help lever in additional funds. The budget in 2006 was approximately £16,000 and in 2007 is around £30,000, any residual funds are passed on by the host organisation to the following years host to help pump prime the event.

How to express interest:

To submit your expression of interest please send us the completed expression of interest outlining why you feel you would like to host the Summit in 2009, your initial ideas and thoughts on potential venues and opportunities that your location brings and a contact name, email and telephone number, it would helpful if you would also indicate what time of year you envisage would be best to host the Summit, we would advise avoiding the spring so as not to compete with the National CHAPS conference.

The expressions of interest will be reviewed by the founding members who will aim to make a decision by the 3rd September to enable the host organisation to announce their intention at the 2008 Summit on the 4th & 5th September 2008.
